Job Description


Hiring Up Staffing is currently seeking a skilled Practice Coordinator for a respected medical client in Fresno, CA. This key position focuses on guiding prospective patients through the lead conversion process, improving clinic operations, and organizing engaging marketing events to attract and educate the community about the clinic's services.

Compensation & Benefits:

  • Salary: $69,000 - $71,000 per year

  • Bonus: Eligibility for performance-based monthly and annual bonuses

Schedule:

  • Full-Time Schedule:

    • Tuesday to Thursday: 7:15 AM – 6:00 PM

    • Friday: 7:15 AM – 4:15 PM

  • Team Training: One to two Mondays per month dedicated to team training.

  • Event Schedule: Marketing events typically occur up to once a month in the evening, with occasional Saturday events.

Job Summary:
The Practice Coordinator will primarily focus on transforming leads into long-term patients while enhancing clinic systems and workflows. Additionally, this role will take charge of coordinating and executing marketing events like seminars, workshops, and webinars, all aimed at educating the community and expanding the clinic’s patient base. This position requires a blend of patient engagement, operational management, and event coordination expertise.

Key Responsibilities:

Lead Conversion & Patient Onboarding:

  • Manage the entire lead-to-patient conversion process, ensuring potential patients are properly nurtured through each stage of the intake pipeline.

  • Provide informative support to prospective patients, answering queries, and offering guidance to ensure a seamless onboarding experience.

  • Work closely with the marketing team to create and execute follow-up strategies—such as automated emails, phone outreach, and social media engagement—to convert leads into patients.

  • Analyze lead conversion data to identify trends and optimize conversion strategies, improving patient acquisition outcomes.

  • Build strong relationships with new and potential patients to facilitate a smooth transition into the clinic.

  • Manage appointment scheduling, ensuring prompt follow-up with leads who haven’t converted into patients yet.

Systems Development & Process Improvement:

  • Continuously assess and improve the clinic’s systems for patient intake, scheduling, and follow-up to ensure efficiency and a positive experience for both patients and staff.

  • Utilize and enhance CRM tools and other technologies to track patient interactions, appointments, and treatment progress.

  • Collaborate with clinic leadership to streamline workflows and suggest operational improvements that boost clinic performance.

  • Oversee documentation and reporting processes to ensure accuracy and efficiency, enabling staff to deliver top-quality care.

  • Regularly review communication materials such as appointment reminders, surveys, and feedback to refine and enhance the patient experience.

Marketing Events Management:

  • Plan and execute marketing events like workshops, seminars, webinars, health fairs, and community outreach events, all designed to generate leads and engage the community.

  • Partner with the marketing team to develop event content, including presentations, promotional materials, and social media strategies.

  • Manage all event logistics, including securing venues for in-person events, coordinating with guest speakers, managing registrations, and ensuring everything runs smoothly.

  • Evaluate the success of events by tracking lead conversion, follow-up interactions, and feedback to enhance future marketing initiatives.

  • Generate post-event content (e.g., blogs, videos, and social media updates) to further engage event attendees and encourage their conversion into patients.

Collaboration & Team Support:

  • Collaborate closely with clinical and administrative teams to ensure alignment across marketing strategies, patient engagement efforts, and operational workflows.

  • Support team members in understanding patient intake systems, follow-up protocols, and lead conversion strategies.

  • Assist in creating patient materials, guides, and other educational resources for marketing events and patient onboarding.

  • Ensure that all marketing materials are consistent with the clinic’s branding, messaging, and mission.

Qualifications:

  • Education: A Bachelor’s degree in healthcare administration, marketing, business, or a related field is preferred.

  • Experience:

    • 2-3 years of experience in a patient-facing role, preferably in a medical or functional medicine clinic setting.

    • Proven experience in managing lead conversion, customer service, or sales funnels within a healthcare environment.

    • Experience planning and executing marketing events or campaigns, particularly in healthcare or wellness.

    • Strong background in optimizing clinic systems and workflows.

  • Skills:

    • Excellent communication, interpersonal, and organizational skills.

    • Proficiency with CRM software, scheduling tools, and other healthcare management systems.

    • Solid event planning and coordination skills, including logistics and vendor management.

    • Ability to collaborate with the marketing team to create compelling event content and follow-up campaigns.

    • Proficiency in Microsoft Office Suite, Google Workspace, or other productivity tools.

    • Strong problem-solving skills with the ability to think creatively and take initiative.
